Chairman's Report 2009

The work carried out by our volunteers is an obvious benefit to the village in keeping our public spaces in excellent condition, and there is clearly a community side to the Group’s work; as well as a saving for residents.

Normally, Ted would provide a very full and detailed report, however, I won’t meet muster but will run through the past year’s work etc.

In 2009 a total of 27 volunteers covered 41 sessions with up to 5 volunteers on each session. 

During November the final strim and leaf clearing was undertaken at the 3 sites.  

Finance: Ted highlighted last year the Group’s abandonment of ‘sailing close to the wind’ on finances.  The Group is again adopting financial prudence to rebuild its reserves, and has set a higher quote of £1050.00 for unforeseen maintenance and replacement of equipment costs.

The Parish Council has agreed to pay this sum and the money will be paid to the Group after 6 April 2010.

Accounts: Andy Swantson has reviewed the prepare accounts for the year 2009 but as yet has to actually sign them off – Andy is in Spain at the moment so this is not possible.  Andy and I have been communicating by email and ‘phone.

The Group’s balance at the end of November 2009 stands at approximately £400.

Tax Refund:  it would appear that the Group is due to receive a tax refund of approximately £860.60 – we are currently looking into this and can not report anything further at the moment.

Treasurer:  Ted had campaigned for a new Treasurer last November due to Julie’s resignation and I pleased to say that Zani Robinson has kindly agreed to stand.

Public Liability Insurance for the Group:  the date of the renewal has been changed to April to accommodate the Parish Council’s end of year.    Also, there was a slight reduction in the costs last year as the Committee took a decision to only insure the expensive items of equipment.  A copy of the Certificate can be found on the notice board at Lower Common or here this evening.

Basingstoke & Deane Borough Council – Climate Change Seminar

Tony Matthews attended a climate change seminar at the end of October run by Basingsoke & Dean Borough Council.  The good news is that Ellisfield is ahead of the game with our recycling initiatives etc.  BDBC is trying to organise working parties across the borough to handle environmentally friendly issues.

The Group’s Risk Assessments have been completed for all sites; these should be read by all volunteers.  Copies are available here tonight or can be obtained from myself throughout the year.

The Group’s Constitution is also available tonight should anyone wish a copy or it can be obtained at any time throughout the year from my self.     

Recycling initiatives:

We have a number of recycling points in the village for the items that cannot be placed in the green wheelie bin, please use them and reduce the amount going to incineration and the impact on the environment.

Ted Dowson collected and recycled old printer cartridges – sadly Ted for the foreseeable future can not provide this service.  Is there anyone her tonight that can pick up on this service and run with?  Post mtg. note: Seumas Foster of Northgate Cottage will handle for the interim.

Old/Used Postage Stamps – I have started collecting these and will place a bin in my porch for anyone’s delivery.  (Hannah Houstin-Lacey, Fairholme, Green Lane).

Finally, but most importantly, a very big thank you to all our generous volunteers, the kind helpful people who allow us to store the equipment near to the sites and to all who generously supports the Group - thank you for all you have done over the last year.  The Group could not function without!
